How to Create and Manage Online Reservation Groups

Overview:

Online Reservation Groups provides control of online booking settings and pricing.  The feature will allow online booking capabilities for public bookings, member bookings, and more.  With these capabilities, golfers will be able to reserve a tee time and pay online without having to step foot in the pro shop or calling the pro shop phone. 

Preconditions:

Preconditions are the necessary settings, permissions, and items created in your software to allow the feature to work.

Public Booking Group

• Online Booking turned on
• Tee Sheet settings in place
  • Tee Time Increment
  • Time to Finish 9 Holes
  • Open and Close Time
• Tee Sheet pricing completed

Member Booking Group

• Online Booking turned on
• Tee Sheet settings in place
  • Tee Time Increment
  • Time to Finish 9 Holes
  • Open and Close Time
• Tee Sheet pricing completed
• Passes for membership created
• Customer groups for members created

Dependencies:

Dependencies are necessary steps or features that need to be in place in order to create or edit the current feature (I.e. The dependency to checking in a golfer is to create a tee time).

Public Booking Group

• Customer profile created

Member Booking Group

• Customer profile created
• Pass sold or assigned to customer
• Customer assigned to customer group

Steps:

Public Booking Group

1. Go to Settings
   
2. Go to "Online Customer Portal" settings
   
3. Go to "Online Reservations" settings in the blue column
   
4. Click "Add" in the Online Reservation Groups section
   
5. Add an "Online Reservation Group Name." A good name for this is "Public Golfers"
6. Select the "Price Class" for the online reservation group
   • Note: "Price Class" will determine the pricing of the online booking for this reservation group
7. Select the "Days in Booking Window" as desired for public golfers
   • Note: "Days in Booking Window" will determine how far in advance a golfer will be able to book a tee time for this reservation group
8. Select the "Max Players Per Time Slot" as desired for public golfers
   • Note: "Max Players Per Time Slot" will determine the maximum number of golfers allowed to book for this reservation group.
9. Select the "Allow Online Payment" as desired for public golfers
   • Note: "Allow Online Payment" will determine if golfers have the option to reserve a tee time only, require payment, or have the option
10. Select the "Allow Bookings Up To" as desired for public golfers
    • Note: "Allow Bookings Up To" will determine when a golfer can book from the current time.  If 60 minutes, the golfer will not be able to book within the hour. 
      
      
11. Click "Save Changes" when complete

Member Booking Group

1. Go to Settings
   
2. Go to "Online Customer Portal" settings
   
3. Go to "Online Reservations" settings in the blue column
   
4. Click "Add" in the Online Reservation Groups section
   
5. Add an "Online Reservation Group Name." A good name for this would be the name of the membership
6. Select the "Price Class" for the online reservation group. Choose the price class for the membership
   • Note: "Price Class" will determine the pricing of the online booking for this reservation group
7. Select the "Days in Booking Window" as desired for the membership
   • Note: "Days in Booking Window" will determine how far in advance a golfer will be able to book a tee time for this reservation group
8. Select the "Max Players Per Time Slot" as desired for the membership
   • Note: "Max Players Per Time Slot" will determine the maximum number of golfers allowed to book for this reservation group.
9. Select the "Allow Online Payment" as desired for the membership
   • Note: "Allow Online Payment" will determine if golfers have the option to reserve a tee time only, require payment, or have the option
10. Select the "Allow Bookings Up To" as desired for the membership
    • Note: "Allow Bookings Up To" will determine when a golfer can book from the current time.  If 60 minutes, the golfer will not be able to book within the hour. 
11. Check the "Password Protect Group" box
    • Note: This will activate the setting for the "Available Customer Groups" and the "Available Applicable Passes"
    • Note: This will make it to where the customer profile assigned to the customer group will have access to the Online Reservation Group with their online profile. 
    • Note: This will make it to where the customer profile with the applicable pass will have access to the Online Reservation Group with their online profile. 
      
      
12. Click "Save Changes" when complete
