Steps:
Same Day Refunds
- If you are issuing a refund within the same day and at the same terminal of the original transaction, locate that transaction on the right side of your sales screen. Use the scroll bar located on the far right of “Recent Transactions” to find the transaction you are looking for.
- Select the blue transaction number located in the upper right corner for each individual sale.
- This will launch the Edit Sale Modal, which gives the option of viewing, printing, emailing, etc. In this window, click Issue a Refund from the options across the bottom.
-
Issue a Refund opens the transaction in the Sales Module. There are several indicators that you are set up to issue a refund:
- In the bottom right hand side of the screen, you will see Issue Refund in red text under the total due
- In place of the Pay Now button, there will be a Return Now button
- The bar across the top of the sale will be red
-
The Sales Module is where you will see all the items on the original sale. You can choose to refund the entire sale or individual items.
- To refund individual items, mark the checkbox next to each item on the left hand side
- To refund the entire sale, mark the checkbox next to all items. To do this quickly, check the box in the grey header row
-
There are three options to issue a refund from here
-
The recommended method is to use the red Issue Refund button under the total due. Doing this will bring up the issue refund modal. Set the return reasons and comments and click Refund. This will refund the original amount to the original payment method without needing to insert a card into the EMV. The original payment method lasts 45 days before expiring.
- To issue a refund using the EMV device, click the green Credit Card button. Alternatively, click the green Return Now button and then select Credit Card. Then, insert the original credit card into the Credit Card reader. This ensures that the amount is being refunded back to the original card used at the time of the transaction.
- To issue a cash refund, use the green Cash button.

Not Same Day Refunds
-
If the refund is needed on a day outside of the original transaction date, you will need to begin the refund process from within the Reports module in the navigation flyout.
- Select Sales from the column on the Left and enter your date range.
-
After the transactions populate, run a search by selecting CTRL+F, and entering in the last 4 digits of the credit card number you are looking for. This will show you all transactions made by that card during that date range.
-
Locate the transaction line that you need to refund and select EDIT XXX for that line on the left hand side.
-
From there follow the steps 3-6 above for issuing the refund.
