Overview
Each dashboard will have filters on the right-hand column of the screen that allows the filtering of specific data points. Filters have the name of the data point you can filter by, and filter options can be set individually per user.
Adjusting filters will immediately refresh the data in your dashboard. The dashboard may go dark for a moment as it reloads the new data.
Most dashboard filters affect all widgets on a dashboard, but there are some widgets that are excluded from the reach of certain filters. The reasoning is typically straight-forward (i.e. the “Sales Category” dimension won’t affect a widget detailing how many rounds were booked by day).
Accessing the Tool
- Sign in to the foreupsoftware.com portal as usual for daily operations.
- Click on the navigational menu at the top-left of the page, and from the module dropdown, select Business Intelligence.
- Select a dashboard to view.
- Filters appear in a column at the right side of the screen. If the filter column is not visible, there will be a small arrow-shaped icon on the right edge of the screen, which will toggle the visibility of the filter column.
Using Filters
- Identify a filter that you wish to adjust from the filter column.
- The title of each filter identifies the data point that will be filtered against.
- The current filter value is displayed in either dark blue, red, or gray.
- Blue value(s): Indicate values that are filtered to be included in dashboard reports. In other words, reports will include only values which are specified.
- Red value(s): Indicate values that are excluded from dashboard reports. In other words, reports will include all values except those displayed in red.
- Gray value(s): Indicate filters which are temporarily disabled – these will have no effect on reports.
- To edit the value of a filter, hover the mouse over the filter and click the pencil icon that appears to bring up the ‘Edit Filter’ popup.
- Depending on the data type of the filter, you will see different options for editing the filter value:
- Date filters:
- Include all (no filter applied): This option will include all values from this data point, or in other words, will not apply any filter.
- Distinct period picker: This option allows you to filter for a specific time period. The first dropdown provides options, such as year, month, or day. After a selection is made in the first dropdown, the second will display a list of all applicable time periods to choose from based on the selection in the first selector. For example, if month was chosen in the first dropdown, a list of all months available in this data point will be shown. Multiple selections from the same time period type are allowed.
- Dynamic date ranges: This option allows you to select date ranges relative to the current date. The first dropdown has the options Last, This, and Next while the second dropdown has time period types, including Year, Month, and Day.
- Because this option is relative to the current date, the same selection (e.g. “This Month”) may provide different results depending on the date that you view the dashboard.
- “From-To” range: This option allows you to specify a specific start and end date for the filter. Clicking in either the From or To selector will bring up a calendar from which you can select any date.
- Additional options: This option allows you to select various logical functions to filter values against, including an “is not” option, which allows you to select values from a checklist to exclude, and other less commonly used options to fine-tune the filter.
- Text filters:
- Include all (no filter applied): This option will include all values from this data point, or in other words, will not apply any filter.
- Find in the list: This option allows you to select one or more values from a checklist of all available options within the data point. You can scroll through the list to find the value(s) you wish to filter for, and/or you can search for a value from the search bar next to the radio button above the checklist
- Additional options: This option allows you to select various logical functions to filter values against, including an “is not” option, which allows you to select values from a checklist to exclude, and other less commonly used options to fine-tune the filter.
- Date filters:
- Finally, regardless of which type of filter option utilized, click on the Apply button at the bottom of the Edit Filter popup to apply the filter. Once applied, the selected value(s) will appear in the filter column of the dashboard, and the dashboard will briefly reload to apply the new filter.
Other Filtering Options
- At the top of the Filters column are two icons:
- “Restore Default Filters”: Clicking this option will reset all filters on the dashboard to their default value
- Ellipses: Allows you to save your own, user-defined set of default filters.
- Click the “Set as My Default Filters” option to save the current state of all dashboard filters as your own default. Note that this impacts only the account currently being used, and that each individual user can have their own set of filter defaults. Defaults are also unique across each individual dashboard.
- “Restore Default Filters”: Clicking this option will reset all filters on the dashboard to their default value
- Filter Heading – this indicates the item (data point) being filtered by.
- Pencil Icon – Hover over the filter heading to access. Then click to add/remove values.
- Toggle Button – Use this to toggle on/off a specific filter.
