- Access to the App Cockpit
Overview
Note: We highly recommend facilities utilize the existing calendar on their website. It can easily be linked via a URL and means managing your calendar in one location only. We also cannot link URLs to the in-app event scheduler. The app event scheduler feature is only recommended to facilities without a website/website calendar that they are able to manage.
For clubs that prefer to manage their event calendar in their app cockpit, that’s where the event scheduler comes in. You’ll have the tools to build, customize, and maintain your own calendar right from the App Cockpit. Whether you’re setting up programs, adding locations, or managing recurring events, this guide walks you through each step to create a polished, user-friendly schedule your members can easily access.

Steps
Part One: How to Create, Edit and Manage an Event Program
To create, edit and manage an event program, navigate to the Events tab.
- If you have never been to the Events tab, click the + Create Event Program button.
- If you have been to the Events tab and have previously created event programs, click on the top left dropdown and select Manage Programs.
- Click the +Add Program button to add a new program.
- Click the pencil icon to Edit an existing program.
- To delete an existing program, click the programs dropdown arrow and select Delete.
- If you have been to the Events tab and have previously created event programs, click on the top left dropdown and select Manage Programs.
- When creating or editing a program, each program must include:
- Name – The name of the program that will display to end users.
- Description – A summary of what will be displayed.
- Time zone – The time zone the program calendar will operate in.
- Click Save Changes.
Part Two: How to Create, Edit and Manage a Location
To create, edit and manage a location, navigate to the “Events” tab.
- Click on Configuration and select Locations.
- To add a new location, click Add.
- To edit an existing location, click on the pencil icon.
- To delete an existing location, click on the locations dropdown and select Delete.
- To edit an existing location, click on the pencil icon.
- Fill out the Location information including Name, Description, Club (your app), Contact Information, Address and Location.
- Click Save to save changes.
Part Three: How to Create, Edit and Manage a Sub Location
To create, edit and manage a sub location, navigate to the “Events” tab.
- Click on Configuration and select Sub Location.
- To add a new sub location, click the +Add Sub Location button.
- To edit an existing sub location, click on the pencil icon.
- To delete an existing location, click on the locations dropdown and select Delete.
- To edit an existing sub location, click on the pencil icon.
- Fill out the Sub Location information including Name, Short Name and Location.
- Click Save Changes.
Part Four: How to Create, Edit and Manage an Event Category
To create, edit and manage an event category, navigate to the Events tab.
- Click on Configuration and select Category.
- To add a new Category, click the +Add Category button
- To edit an existing category, click on the pencil icon.
- To delete an existing category, click on the categories dropdown and select Delete.
- To edit an existing category, click on the pencil icon.
- Fill out the Category information including:
- Name
- Description
- Color (this color will display to users to color code events)
- Click Save Changes.
Part Five: How to Create, Edit and Manage Event Types
To create, edit and manage event types, navigate to the Events tab.
- Click on Configuration and select Event Types.
- To add a new event type, click the +Add Event Type button.
- To edit an existing event type, click on the pencil icon.
- To delete an existing event type, click on the categories dropdown and select Delete.
- To edit an existing event type, click on the pencil icon.
- Fill out the Event Type information including:
- Name
- Category
- Image
- Description
- Click Save Changes.
Part Six: How to Add Events to the Events Schedule
To add events to the schedule, navigate to the Events tab and click on Schedule.
- Click on the top left dropdown and select the Schedule (calendar) that the event will be added to.
- To add a new event to the schedule:
- Option 1: Adding events from the Events Tab.
- Click on the Events tab and double click on the date and time of the event on the calendar.
- Click on the Events tab and double click on the date and time of the event on the calendar.
- Option 2: Adding events from the Rules Tab.
- Click on the Rules tab and click the +Add Rule button.
- Click on the Rules tab and click the +Add Rule button.
- Option 1: Adding events from the Events Tab.
- On the “Add Rule” screen, fill out the General information for the event including:
- Event Type
- Location
- Sub Location
- Set the Schedule and Frequency for the event from three options including:
- One-Off = Single event.
- Daily = Event set to repeat on specified days and can be set to never end, end on a date, or after a set number of occurrences.
- Weekly = Event set to repeat on a specified weekly frequency.
- One-Off = Single event.
- Click Save Changes to add the event to the schedule.
Part Seven: How to Edit and Manage Events on the Events Schedule
To edit and manage events on the schedule, navigate to the Events tab and click on Schedule.
- To edit/cancel an existing event on the schedule, double click on the event to be edited to bring up the menu:
- To make a one-off change to any event or single occurrence without affecting other occurrences in the schedule, click Change.
- To cancel any event or single occurrence without affecting other occurrences in the schedule, click Cancel.
- To make a change to all repeating instances of events in a schedule, click on the pencil icon.
- To copy an event, click the copy icon.
- To delete all instances or occurrences in a scheduled event, click the trashcan icon.
- To close the menu, click on the X icon.
