Aggregate Booking
Prerequisites:
- Customer Checkout Required. Payment Processors needed:
- World Pay
- TriPOS
- foreUP Payments
- If your foreUP account is part of a Multi Course Operation (MCO) group, all information must be shared: Tee sheets, customers, price classes and gift cards.
- Reservation Groups must be identical between tee sheets being aggregated for online booking.
Overview:
- Aggregate Booking is foreUP’s solution for displaying tee time availability from multiple tee sheets on a single online booking webpage. This makes it easier than ever for golfers to book a tee time on any tee sheet that is part of your business.
Setup:
- Initial setup will be done by foreUP. This includes the sharing of information among foreup accounts including Tee Sheets, Customers, Price Classes, and Gift Cards. Since Aggregate Booking requires reservation groups to be identical between all courses involved, foreUP will assist in making sure all settings between groups comply.
- Note: If a Reservation Group needs updated in the future, make sure the same group is updated on all foreUP accounts involved with the Aggregate Booking. This includes the group name, settings, etc.
- A tee sheet logo should be added to serve as a visual indicator of which tee sheet each time is displayed for. If a tee sheet logo has not been added, steps to do so can be found here: https://foreup.zendesk.com/hc/en-us/articles/10122118301339-Customer-Checkout-Design-Updates
Messaging:
- Once Aggregate has been setup, changes have been made to messaging to accommodate for both group messaging and tee sheet specific messaging. Navigate to the Settings module, select “Online Customer Portal” and then “Messages”.
- Filters: There are two options that can be found here: “Tee Sheet” and “Group”.
- Selection: If multiple tee sheets are in that foreUP account, those tee sheets will be shown in a dropdown here. Similarly, if your operation has multiple groups of aggregated tee sheets, those groups will display here.
- Group messaging: “Online Booking Welcome Message” and “Booking Rules” These messages are displayed before the customer clicks a tee time and should pertain to the entire group.
- Tee Sheet messaging: “Reservation Email Photo”, “No Show Policy”, “Terms and Conditions” and “Reservation Email Message”. These messages are displayed after a customer has clicked a tee time or booked a tee time for a specific tee sheet.
- In the screenshot below, I have changed my filter to “Group” and selected the “Championship” Aggregate Group. Here, I can enter the Online Booking Welcome message and Booking Rules for the group. These messages can be edited in any account foreUP that has a tee sheet part of this Aggregate Group and will be shared across foreUP accounts that part of this aggregate grouping.
NOTES:
- While any user with access to the settings module has access to change group messaging, foreUP recommends that only one person be responsible for adjusting group messaging as these messages are shared between foreUP accounts.
- If the filter for “Tee Sheet” is selected, the Online Booking Welcome Message & Booking Rules will display. However, if a user navigates to online booking via an Aggregate URL, these messages will not display. These messages will only display if navigated to from that specific tee sheet’s online booking URL.
Usage:
After setup is complete. A new URL will be generated for each aggregated group of tee sheets.
Make sure customers are directed to the new URL for making tee times.
- Upon login, customers will be shown a tee sheet that that will display open times for every aggregated course.
- Within the left-hand corner, customers may select and un-select which courses they would like displayed.
