Overview
This article explains how to inactivate inventory items you no longer sell and hide those inactive items from inventory lists in the foreUP platform. Inactivating unused products helps keep your point of sale clean, prevents accidental sales of discontinued items, and improves day-to-day inventory management.
Preconditions
Before you begin, confirm the following:
- Access to the Inventory module
- Inventory items already created in your system
- Permission to edit inventory items
Steps
Inactivate an Inventory Item
Use this process to prevent an item from being sold.
- Navigate to the Inventory module.
- Locate the item you want to deactivate.
- Click the item to open its details.
- Toggle the Inactive setting on.
- Click Save Changes.
⚙️ Note: Once inactive, the item can no longer be selected during sales in POS or Food & Beverage.
(Optional) Mark an Inactive Item as Unlimited
Marking an inactive item as Unlimited helps remove it from inventory-based reports while keeping historical sales data.
- Open the inactive item in the Inventory module.
- Change the inventory type to Unlimited.
- Click Save Changes.
⚙️ Note: Unlimited items are not tracked as stock on hand, but they remain available for historical reporting.
(Optional) Add an “Inactive” Label to the Item Name
Adding a visual label can make inactive items easier to identify when searching or reviewing inventory.
- Edit the Item Name field.
- Add a label such as (Inactive) or INACTIVE – before the item name.
- Click Save Changes.
💡 Tip: This is especially helpful if you temporarily unhide inactive items for review or edits.
Hide Inactive Inventory Items
Hide inactive items to reduce clutter in your inventory lists.
- Go to the Settings module.
- Select Inventory from the left-hand menu.
- Enable Hide inactive inventory items from displaying in inventory.
- Click Save.
⚙️ Note: To view or edit inactive items later, temporarily disable this setting, make your changes, and then re-enable it.
